Strongly consider hiring an event coordinator if a) You have no time to plan the event; b) You have no desire to plan the event; c) your guest list has 15+ names and keeps growing; or d) you simply prefer professional help. Event planners will do the legwork, negotiate contracts, among other things to help save you time!
Here are some frequent concerns people have about hiring a planner and here are our answers.
(2) Will the coordinator devise a master plan mapping out all the little details, from announcement to zebra-striped decor? (This will clue you in to organizational prowess and a willingness to keep you in the loop on every matter imaginable.) Will the coordinator read over the vendor contracts for you?
Yes! We are very detailed oriented and we are here to help you organize your event and you are involved and knowledgeable about every aspect of your event. Yes, we review all contracts.
(3) Can the coordinator name the best and most original locations in your area (that would be suitable to your party size, and style)? Is the coordinator familiar with the best florists, photographers, caterers, bands, and DJs in your price range? Can he/she explain their strong points to you briefly? (Does the coordinator seem both knowledgeable and passionate?)
Yes! At Events in a Box, we pride ourselves on our thorough and outstanding research and we like to seek out unique venues and vendors that are suitable to your style, taste, needs, wants and budget. We are also open to any suggestions you may have. If we are not familiar, we will make it our mission to become familiar!!
(7) Can the coordinator create a timeline that tells everyone involved in the planning process -- vendors, family members, etc. -- what to do and when to do it? How will she/he make sure that everyone sticks to the schedule? Will the coordinator organize delivery, arrival, and setup times with photographer, florist, musicians, caterer/banquet manager, et al?
Yes! Timelines are important and essential to being detailed oriented. We will talk it over with your vendors and venues involved to see what works best for them to keep them on task.
(11) For the day of the event, will the coordinator be willing to oversee the entire event by supervising vendors, troubleshooting emergencies, and soothing nerves? Can she required perform above and beyond the call of duty?
Yes! We oversee the entire event from start to finish… this is included in your fee. It is our job to make sure your event is not stressful on you and that it runs smoothly.
(12) Will the coordinator be willing to step in as your advocate, conveying your visions and desires to vendors when you don't feel up to the task? Can the coordinator counsel you on etiquette matters and alert you to hot trends?
Yes! EIAB’s goal and desire is to give you what you want! It’s your event, you get what you want! We also stay abreast of the latest trends and etiquette matters so you can either go with the flow or jump out of the box!
Yes there is a NON-REFUNDABLE fee because this fee is what allows you to RETAIN the services of EIAB, that is, to secure EIAB's availability to perform a service during a specified time, which in this case, is your EVENT DAY.
By retaining EIAB through the action of sending in your check and a signed contract, you are officially BOOKED and EIAB would then be unavailable for anyone else's wedding or event. So, any other potential client who may be interested in a package that is BIGGER (or smaller) than the one you choose, would be turned away, if their event date happens to be the same as yours. Additionally, even if for some reason, your event is cancelled, the non-refund policy still applies.
